What should you check before placing an order?

Before ordering custom event tents from China, confirm the supplier’s legal identity, the exact product specification, artwork approval requirements, inspection criteria, total delivery costs, payment conditions and realistic arrival schedule. Put these details in one written order package. A product photograph and a price per tent are not enough to define what the supplier must deliver.

For branded pop-up canopies, the biggest purchasing mistake is approving separate details in scattered messages without creating a final, consistent specification. The quotation may describe one frame, the sample another fabric, and the artwork a sidewall that was never included in the price.

1. Can you verify who is selling and producing the tents?

Ask for the supplier’s registered business name, Chinese legal name where applicable, registered address, business registration details and the entity that will issue the invoice. Establish how that entity relates to the website brand and production facility.

A trading company is not automatically a poor supplier, and a factory is not automatically a reliable one. What matters is whether the seller explains its role, controls the agreed work and accepts clear contractual responsibility.

Request a live walkthrough or a relevant factory assessment when the order warrants it. Ask which processes are performed on site and which are outsourced. A photograph of printing equipment does not establish ownership, production capacity or the quality of your future order.

2. Does the quotation define the exact tent configuration?

3. Do test reports apply to the product you are buying?

Ask which requirements apply at the destination and intended venue before choosing materials. Obtain clarification from the event organizer, relevant authority or qualified adviser where necessary. Do not assume that a document accepted for one event will satisfy another.

For each report, review the issuing laboratory, report number, date, test method, sample description and actual result. Check whether the tested material matches the fabric, coating or assembly in your order. If the connection is unclear, ask the supplier to explain it in writing.

4. Have you approved both the artwork and the physical product?

A digital artwork proof checks layout; a physical sample checks aspects of the actual product. One does not replace the other.

For artwork, verify spelling, logo proportions, panel orientation, print boundaries, seam locations and the direction each wall faces. Identify every panel as viewed from outside or inside. Specify whether a wall is single-sided or double-sided and confirm what that means for its construction.

Record the final filename, revision number, approval date and authorized approver. If color is critical, agree on a physical reference and the method used to evaluate it. Screen appearance alone should not be treated as a guaranteed printed match.

For samples, confirm whether you are approving a fabric swatch, printed strike-off, standard tent or fully customized pre-production unit. Document any differences from the planned bulk order. 5. Are quantities, variants and spare parts unambiguous?

Break the order into separate lines for each size, frame model, artwork version and accessory package. A total quantity can conceal an incorrect split between branches, sponsors or event teams.

Ask whether minimum quantities apply to the entire order or separately to each design and configuration. Confirm sample charges, setup charges and repeat-order conditions rather than assuming they are included.

For repeated event use, request a replacement-parts list and identify the parts compatible with the selected model. Ask how roofs, connectors, feet and carry bags can be reordered. Do not assume future compatibility because a later product has the same nominal size.

6. What will be inspected before shipment?

Agree on an inspection plan before production starts. It should state who inspects, when inspection occurs, which units are selected, what is checked and what happens when a defect is found.

Useful checks include opening and closing the frame, operating locks, fitting the canopy and walls, checking dimensions, examining seams and print placement, counting accessories and reviewing packaging. Distinguish cosmetic observations from faults that prevent correct assembly or operation.

If sampling is used, specify the method, sample size and acceptance rules with the inspection provider. Avoid adding an unexplained “AQL” number to a purchase order and assuming both parties interpret it identically.

Require an identifiable inspection record tied to the order and model. Agree on correction, reinspection and release responsibilities before a problem occurs. A few attractive production photographs are not equivalent to the agreed inspection report, and a sampled inspection cannot guarantee every unit is defect-free.

7. Does the price include the delivery responsibilities you expect?

Compare complete offers, not only the unit price. Separate product costs, customization, packaging, inspection, transport, insurance where applicable, import charges and final delivery. Ask a freight forwarder or customs broker to confirm destination-specific costs rather than relying on a generic estimate.

Write the chosen trade rule, named place or port, and version into the quotation and contract. For example, a rule name without its location leaves a key part of the arrangement unclear. ICC’s Incoterms 2020 overview explains that these rules allocate responsibilities, costs and risks for delivery.

Incoterms do not replace the rest of the contract. Separately agree on payment milestones, inspection rights, product acceptance, remedies and dispute terms. Do not assume that paying the freight means the seller carries transport risk until arrival; check the selected rule.

8. Is the schedule based on your required arrival date?

Ask what starts the production clock. It might depend on several completed approvals, not simply the deposit date. Confirm holiday closures, booking assumptions and the effect of late artwork changes.

Keep “ready to ship,” “departed” and “delivered” as separate milestones. For a fixed-date event, agree on an escalation point and a contingency plan before ordering. Do not present an estimated transit period as a guaranteed arrival commitment.
